Position:
The Office Support Staff is responsible to perform select functions in support of various
departments. They will be assigned various responsibilities considered to be excess work
or overflow performed by other departments as well as taking on tasks in which they will
take ownership.

Advantages

Invoicing
 Manage the invoicing of all Domestic orders and update all customer
related portals associated with orders shipped.
 Review all critical aspects of an order and confirm pricing, quantities,
transaction information.
 Communicate with appropriate staff to escalate discrepancies on
shipments

Follow up of Direct Import Shipments:
 Review Freight Forwarder reports and update ERP system (Epicor) with
current and daily changes relating to all Direct Import (DI) shipments.
 Communicate via email/phone to FF for clarification on discrepancies and
missing information.
 Communicate with Logistics and Purchasing.
 Communicate with Sales Coordinators on customer-related delays

Filing:
 Weekly filing

Prepare Overseas Supplier Payments:
 Input data on Excel payment sheet.
 Verify amounts and PO numbers are correct.
 Print summary payment sheets and attach to all PO’s and B/L’s.
 Submit documents to A/P for payment.
Pricing Pages:
 Maintain and update various pricing pages as required
 Add / remove destinations as necessary for each product
 Update monthly freight rates to pricing pages
 Post price sheets on the cloud
 Assist sales staff with questions

Qualifications
Requirements and Qualifications
•Accounting background essential
•Good computer skills in MS Word, Excel, Outlook, and knowledge working in Windows database, including ERP (eg Epicor)   
•Good understanding of Excel and formulas including knowledge of vlookup.
•Understanding of invoicing and order receipt process through EDI portals
•Good organizational and time management skills.
•Good written and verbal communication skills  
•Good problem-solving and critical thinking skills.
•Strict attention to detail.
•Ability to interact professionally with all organizational levels.
•Ability to manage competing priorities in a fast-paced environment.
•Able to multi-task
•Able to work both independently
•Must be able to work in a team environment and build stable working relationships internally.
•Experience working in an import / export company is preferred
